1. Overview

Connected 12.1 is an update to the Connected accounting and ERP software, available in both Cloud SaaS and Desktop deployments. Building on Connected 12.0, it delivers faster posting, invoice-level sales rep commission rates, enhanced Recurring Invoices, new report filters, Data Exchange improvements and many refinements throughout the application.

NOTE

Before updating, review the System Requirements for Connected 12. When you're ready, you can request the Connected 12.1 update from our download page.

2. General System Wide Enhancements

2.1  Fewer Prompts When Quick Posting

Quick posting is faster with fewer steps. The initial form printing prompt has been removed when quick posting from the Purchase Orders, Account Invoices, Quick Invoices, Credit Memos and Debit Memos windows, taking you directly to the posting review.

Posting is also made available to other users as soon as it completes, even while the final confirmation message is still on screen.

2.2  Easier-to-Read List Selections

Selected rows in lists now use a lighter highlight with dark text, so the current selection is easy to read even when a list or window is not active. This improvement applies to both macOS and Windows.

2.3  Bulk Email CC and BCC

The Bulk Email Preview window now includes CC and BCC fields that apply to every message in the batch. Addresses can optionally be saved with the email template.

USE CASE EXAMPLE

Copy a shared accounting mailbox on every invoice or statement sent in a batch, so the whole team can easily find what was sent.

2.4  Ledger and Query Windows - Column Labels Only Export

When exporting from a ledger or query window, the Column Labels Only choice creates a clean export file with a single header row of column labels. The file is ready to use in Excel, Power BI and AI tools. This builds on the export options introduced in Connected 12.0.

Affected windows: Purchases Ledger, Payments Ledger, Purchase Orders Ledger, Sales Ledger, Receipts Ledger, Sales Quotes Ledger, Sales Orders Ledger, Customer Query, Vendor Query, Item Query, Job Query.

2.5  Print to Spreadsheet - Excel Opens in Front on Windows

When printing a report to a spreadsheet on Windows, Excel now opens in front of Connected so your results are ready to review right away. This applies to both desktop installations and Connected on Demand.

2.6  Simplified Setup Windows

Setup windows no longer display a prompt asking to check whether a code has been used each time it is modified. Codes that are in use remain protected from deletion.

Affected windows: G/L Currency Rates, A/R Sales Reps, A/R Terms, A/R Taxes, A/R Payment Methods, A/P Expense Codes, A/P Terms and A/P Taxes.

2.7  Contacts Window - Copy Email Address

A new Copy button beside the email address in the Contacts window makes it easy to paste the address into another application.

3. General Ledger

3.1  Back Up Before Closing the Year

The Close Year window now includes a Back up data now link that opens the backup utility, making it simple to create a backup before starting the year end process. Once the backup is complete, the Close Year window reopens automatically so you can continue.

3.2  Consolidation G/L Account Mapping

Account mappings can now be imported from a simple two-column text file (parent account and child account), saving significant time when setting up large charts of accounts.

  • Mapped and unmapped account totals are shown below the list.
  • The window can be resized vertically.
  • All three columns are included in the export.

3.3  Bank Reconciliation - QBO File Import Supports More Banks

The very popular QBO bank file import, introduced in Connected 12.0, has been refined to accept additional bank file variations, so statements from more banks import smoothly.

4. Sales and Receivables

4.1  Recurring Invoices Window Enhancements

  1. Batch No column added to the recurring list, with columns reordered for easier review.
  2. New filters for Invoice Type/Frequency and Sales Analysis Code make long lists easier to manage.
  3. The list export now matches the on-screen columns, includes the Customer Analysis Code, and can optionally include invoice details with billing and shipping addresses.
  4. A new use current addresses option creates each recurring invoice with the customer's current billing and default shipping address.

4.2  Invoice Rep Commission %

Commission rates can now be adjusted on individual transactions. A new Rep Comm % field defaults to the sales rep's commission rate and can be changed by authorized users before posting. On sales orders, the rate carries through to the invoice for each shipment.

The feature is enabled in A/R Defaults (available when commissions are recorded by sales rep) and controlled with a new user privilege. Both are off by default.

Affected windows: Account Invoices, Credit Memos, Sales Orders, Sales Ledger, Sales Orders Ledger and the Sales by Rep report (text/spreadsheet export).

4.3  Credit Memos - Price Table Support

The Credit Memos window now includes a Price Table field, so items added to a credit memo are priced from the selected price table, just like invoices and sales orders. Credit memos created from an invoice continue to use the original invoice prices.

4.4  Customer Invoice Analysis Report - Item Vendor Filter

A new Item Vendor filter makes it easy to analyze sales of items supplied by a specific primary vendor. The report header shows when the filter is in use.

4.5  Additional Sales and Receivables Enhancements

  1. Receipts Ledger: A new Auth Number column makes it easy to confirm credit card receipts have been charged before posting. Reference: Receipts Ledger
  2. Sales Ledger: New Tax 1 and Tax 2 rate percentage columns are available in the field picker.
  3. Sales Tax Summary Report: The detailed export includes the invoice shipping City and State alongside the Tax City, Tax County and Tax State/Prov fields.

5. Sales Orders and Quotes

5.1  Incomplete Orders Report - New Filters

The Incomplete Orders report can now be filtered by customer analysis code, item analysis code and item vendor.

USE CASE EXAMPLE

When a large shipment arrives from a vendor, run the report for that vendor's items to quickly see which open orders can now be filled.

5.2  Quick Ship - Print Shipped Items Only

Quick Ship includes a new option to print only the items being shipped on the packing slip, keeping paperwork clear and simple for partial shipments.

6. Purchasing and Payables

6.1  NACHA Balanced File Format

For EFT/ACH payment subscribers, a new Balanced NACHA file format is available for ACH payment exports. The balanced format adds an offsetting balancing entry to the payment file and should only be used if your financial institution or bank requires it.

The existing NACHA format remains available and continues to work for banks that do not require a balanced file. If you are unsure which format your bank needs, check with your bank before making a change.

7. Data Exchange and Importing

7.1  Data Exchange Window in My Places

The Data Exchange window can now be added to My Places for quick access from the Desktop window, the My Places menu or a hot key. The Data Exchange window user privilege is required.

7.2  New Invoice Quantity Fields

New invoice fields for total quantity shipped (pieces), total quantity ordered and total quantity back ordered are available for export, supporting EDI and shipping integrations. Including these fields may increase processing time for very large exports.

7.3  Enforce Standard Line Breaks

A new Enforce Standard Line Breaks option creates export files with standard (CR/LF) line breaks, so macOS users can easily send files to partners whose systems require them.

NOTE

Text files created on macOS use different line endings than files created on Windows. Files sent to trading partners, such as EDI files, may need standard (Windows-style) line breaks due to these platform differences. Turn on this option when your trading partner or their system requires it.

7.4  Sales Export - Conditional Expression

Where the conditional expression option is enabled, the Sales export offers a Conditional Expression field and a No filter - use conditional expression only choice for more control over which invoices are exported.
