The "Myths of Changing Accounting Software" is a four part blog series that looks at common myths when changing accounting and/or ERP systems.  Each post will feature a discussion on a specific myth.

Our first post in this series, Myths of Changing Accounting Software: Part 1 discussed the risks associated with using older, outdated software, and outlined the benefits of upgrading or starting fresh.

In Part 2 we take a look at the migration process and discuss how proper planning and time spent on the details will help make your migration successful.

What makes a Data Migration Successful?

There are a lot of moving parts when it comes to a data migration.  This can be overwhelming in some cases but with the right approach and team to support the process, a well-executed data migration can be achieved.

Key elements to a successful data migration:

  • Planning:  It is the most important part of any successful data migration.
  • Experience:  Getting from point A (current system) to point B ( live on new system) requires knowing all the steps, what to watch out for, and the experience to deal with all the potential bumps along the way.
  • Agreement. Making sure all parties involved are on board with the Why, What, How, Who, and When.  Top-down support is key.

Taking a deeper look at how a migration is planned:

Why:  Ensure that staff/management/ownership understands why this is happening in the first place and ensuring all goals are met.

What: Create a path for the process and a plan for how to get there.

How: Map key processes and the actual data files from your old data.  In some cases, a work-flow diagram (old vs new) can be very useful.

Who: Ensure staff are comfortable, have all questions answered, and are ready to go.  Change management with a focus on staff concerns is crucial for a successful migration.

When: Schedule the "go-live" date to set a target, and keep the process moving forward.  In some cases this has to be changed but having the goal set can make all other parts of the process work smoother.
