Enabling and Using Sub Jobs

Requirements for Sub Jobs:

  

-Connected 10.3 or greater

-Job Costing module activated.


The Sub-Jobs feature allows different jobs to be linked together under a particular Master Job (aka Main job).  Linking jobs in this way can breakdown smaller related jobs to be autonomous but still grouped together when similar properties exist.


An example could be tracking the purchase cost, repairs, maintenance, and rental revenue of a large piece of machinery.  The main job could be for the purchase and improvements to the machine (capital costs).  Sub jobs for the repairs, maintenance, and rental revenue/expenses could be linked and used over the lifespan of the machine, until retirement or resale.


Another example could be a construction project where there are various buildings to the overall project where each building has its own costs and schedules. The master job would be the overall project and each sub-job would be a building or space within that project

Activating Sub-Jobs


To active Sub-Jobs in Connected, select File -> Company Setup -> J/C Defaults, as shown below.



Click on the Jobs tab and select the checkbox for "Use Sub-Jobs".  Click OK to exit and save changes.




Creating the Master and Sub-Job(s) Relationship


To create the relationship between a master and sub-job, the jobs must already be created.   The job which will be the "Master" should also be known prior to creating the relationship.  


NOTE: A job can only have one Master Job No assigned.
NOTE: A Sub Job can be used as a Master of another job. However, for reporting purposes on the Job Activity ledger only the Master Job transactions and all Sub-Jobs directly associated to that job will be visible.


To relate a Master Job:


1) Locate the the Job in Jobs window or from the Job Query window, which will be related to the Master Job.

2) Select the "Relate Master Job" from the Actions menu, as shown in the following screen.



3) The following "Relate Master Job" window will appear.  



4) Click Modify.  Enter the Job No or click the list icon to select from the Job list.  Once the Job is selected, the job description and Customer will appear, as shown in the following screen.



5) Click the checkmark icon to Save.  To remove the assigned job click on the X icon as shown by the red arrow.


Once a relationship has been created, the Job code will appear in the "Master Job No" field, as shown in the following screen.  



The Record Info for the Sub Job will now indicate that a Master job relation has been set, and if Use Change Logs has been activated under File -> Company Setup -> General Setup, there will be a text file that indicates what the changes were.




Using Sub-Jobs


Sub Jobs can be used in the following ways:


  • Master Job Activity Ledger
  • Sub Jobs tab within the Jobs window
  • Job Query Window


Sub Jobs: Activity Ledger


A Master Job (aka parent job) can include all details for sub job(s) (aka child jobs) in the Activity ledger.  The Activity ledger filter and totals will work the same but can contain many more details when including sub jobs.


To show sub job transactions in the Activity ledger:


1) Locate the Master job in the Jobs window or by clicking the hyperlink from a sub job.

2) Choose the filter settings and then click the "Include Sub Jobs" checkbox, as shown in the following screen.    Click the green checkmark to load the changes.



3) Once selected, the detail list will combine all job transaction from the Master and Sub Jobs into a single list, based on the filter selections. Sub Job transactions will appear with the Job number in brackets as shown in the following screen.



All other functions of the Activity ledger works the same as previous versions of Connected.  Transaction details can be double clicked to drill down, click print to export all details to a spreadsheet, and the totals will reflect all transactions listed, including the sub jobs.



Sub Jobs Tab in Jobs Window


As sub jobs are assigned to a master job, the "Sub Jobs" tab can be used to view a summary of which jobs have been assigned and some basic totals.  The following screen shows an example of of the "Sub Jobs" tab for a Master job.



The Sub Jobs tab:

  • includes totals for Hours, Costs, and Revenues for all sub jobs as well as the individual totals for each 
  • each sub job can be double clicked to drill down to the source
  • click Print and select a destination to either export or print the sub jobs list



Sub Jobs: Job Query Window


Assigned Master jobs can be viewed in the using the Job Query window.


The Master Jobs and Sub Jobs can also be viewed from the Job Query window.  Under the Actions menu, Change Columns 



Using the field picker, select the and the "Master Job No" field, as shown in the following screen.



If "Master Job No" is used as the primary sort (click on the heading of the column label), all jobs that have a Master Job assigned to them will appear first ordered by Master Job number.



Using the Job Query window's Advanced Find, a filtered list for one specific Master Job can be made, among other queries.   The following screen shows a basic example of query that is "Equal To" a single Master Job Number.
