Processing Customer Credit Cards - CardPointe

Processing credit cards and saving cards on file,  from within Connected, is a critical part of many businesses day to day operations. Connected makes this easy with multiple charge methods that use a PCI compliant token for saving cards on file.

Methods to Charge a Card in Connected

Processing customer payments via credit card can be done in four ways with the CardPointe payment gateway integration:

1) Using the Receipts (aka Customer Payments) window.  A credit card can be processed for any receipt type (Normal, Miscellaneous, or One Time).  This is typically used when a customer pays their invoice that was issued on account or when making a prepayment (aka Deposit) to be applied later.

2) Using the Quick Invoice window “Charge Credit Card” Action. This will complete the invoice and payment in a single transaction


3) Using the Sales Order window “Charge Credit Card” Action.  This will add a Miscellaneous type of receipt that is linked to a customer’s order.   The receipt will include the order number reference and hyperlink. This method is applicable when taking a deposit on an order that will not be invoiced until a later date.

4) Using the Account Invoice window “Charge Credit Card” Action.  This will add a Miscellaneous type of receipt that is linked to the customer’s invoice.  NOTE: This method is only used if posting the invoice is held but payment processing is required.


Charging a Customer Card in the Receipts Window


The following explains how to charge a card within the Receipts window, or #1 from the above list.


To process a payment by credit card in the Receipts window:

1) Add the customer payment in the receipts window. Since a receipt number is required, entering the card type (Visa, MC, Amex) may be helpful. For example, a Visa on 05/24/25 could use the receipt number “VISA-052425”.


2) Once the receipt is saved, select the Charge Credit Card… option from the Actions menu, as shown in the following screen.

 


3) When the CardPointe Payment Gateway window appears, the default “Authorize Mode” selection is charge card (file for later use), which is the most common selection when charging against a customer receipt.



4) If there are no existing cards available (aka Card on File), click the link labeled “click for secure entry” beside “Card No” to begin the process.  The location of the link and the “CardPointe Secure Card Entry” window are shown in the following screens. NOTE: To charge an existing card (aka card on file), see the Charging Previously Used Customer Credit Cards section of the CardPointe documentation.




5) Enter the card number and press TAB to exit the secure window for card entry.   Continue to add the remaining card details, starting with “Expiry Date”, as shown in the following screen.


 

6) Once all the needed fields are completed, click the Charge Card button.


7) If the charge is accepted and approved an OK message will appear. Click OK and you will see the Authorization Result details in the processing window.

 

8) To view the charge approval details, response codes, or reason the charge was declined, click the “Response List” tab, to show the following screen.

 

 

9) Close the window to exit payment gateway processing and return to the Receipts screen.

 

The card details will appear in the Receipts window, under the Credit Card tab, but the card number will be replaced with asterisks. Connected does not store the credit card information.
